Secure Desktop Client
Before you startβ
Before installing the Secure Desktop Client, you need to have the following versions:
- Qiata Version 3.20.0
One of the following Operating Systems is required:
- Windows 10 Professional
- Windows 11 Professional
- MacOS Catalina 10.15.6
Full notification support is only available on Windows 10 & 11.
- Only port 443 is used for operation
- No telemetry data is transmitted
- No additional programs are needed
Installing the Secure Desktop Clientβ
Download the installation fileβ
You can obtain the Secure Desktop Client from the following website:
https://www.secudos.de/en/help-and-support/downloads/
To access the download area to download the Secure Desktop Client please register on our website first. After successful registration you will receive an email with a confirmation link. Please activate the account by opening the link.
Please note that the activation of your account is a manual process and might take some time. You will receive an email once your account is activated by one of our administrators.
Install the Client on Windowsβ
After successful download of the installation file (EXE or MSI), double-click the file to run the installer. The installation process will start automatically. Please select the requested installation options:
Choose for which users should the client be installed
- Available Options are:
- All Users (Attention: This will prompt for admin credentials)
- Current User
Please note that the selection has an impact on the installation location of the SDC.
Please wait until the installation is complete.
After successful installation, you can choose to start the client directly.
Both available files (.msi and .exe) can also be installed via command line with additional parameters. See Expert Section for more informations.
Install the Client on MacOSβ
After successful download of the installation file (DMG), double-click the file to mount the installation medium.
Follow the instruction in the window (Drag&Drop the SDC Icon to you Applications folder) to install the SDC. The SDC will be copied to your Applications folder.
Start the Clientβ
After the software has been installed a shortcut is automatically created in your system. Embedding in the context menu is also automated [Windows only] . The Desktop Client can now be started via the generated shortcut from your Windows-Desktop, Windows-Menus (see screenshot Windows symbol) or MacOS Application Folder.
Using the Secure Desktop Clientβ
Login Maskβ
Double-click the shortcut to start the client and access the login mask.
After starting the SDC, the server name (FQDN) of the target system must be entered (example: name.domain.com).
Click on NEXT or press ENTER to get to the next step. Depending on the configuration, three scenarios can follow.
If you are not sure which data to enter, please consult your administrator.
Scenario 1) - Only one Login availableβ
If there is only one configured provider on the system, you will be automatically redirected to the Local Authentication page. Enter the known Qiata login data or LDAP login data there.
Scenario 2) - Forced Login by your Administratorβ
If your administrator has forced a login, you will be automatically redirected to the authentication page after entering the FQDN. This can vary depending on the provider (local, ADFS or AzureAD). Authenticate on the page with the credentials you know.
Scenario 3) - User can choose Loginβ
If there is more than one configured provider and the administrator has not forced a login type, the user can choose the login type himself. Depending on the selection, he will be redirected to the corresponding authentication pages and must enter his credentials there.
Single-Sign-Onβ
After a successful login, the SDC stores the credentials for a certain period of time (the length is configured by the administrator or depends on the provider). A new authentication is therefore not necessary. Opening the SDC or selecting the provider brings the user directly into the internal area.
If a user wants to log off completely, he can do this via the settings area CLIENT SETTINGS -> Log off.
Dashboardβ
The dashboard serves as a centralized location for keeping track of all the important information for your user account. Below that, you'll find information like your:
- Last login date
- Last password change
- PersonalSpace quota
- Transfer quota
- Maximum transfers
- Information of your administrator (Information box)
- Restrictions for new transfers
- Permissions
These quota values are managed by your administrators.
In addition to that you can use the My Settings button to switch to your personal Security Settings, Transfer Settings and Email Notifications. Via Change Password you can change your current password.
Some areas in the dashboard may not be visible, depending on settings and availability. For example, the PersonalSpace Quota will only be visible if the corresponding permission is also available. Similarly, Change Password will only be available if the authentication type is LOCAL.
Transfertype: Transferβ
Create your first transferβ
Create a new transfer in order to send files or folders. Click on New Transfer menu tab first. Choose Transfer in the Transfer Type Section. Select your desired sender in the FROM field. This may differ (depending on the setting). In the TO text box enter one or more recipient email addresses.
If your administrator has activated additional send addresses for you, you can select a different sender address (FROM address) via the Drop-Down menu. To do so, click on the displayed area and select the desired address.
Transfers that are sent with a Send As address end up in all outboxes of the group members. Thus, they can also access this transfer and continue working with it. These transfers are displayed with a blue (i) in the outbox.
When you start typing in the recipient field, a selection box may appear, offering matching contacts from your contact list.
You may add additional recipients by clicking the + on the right side of the input field. By clicking on the TO field, you can change the status of the recipient (TO, CC or BCC)
The usage of the TO, CC and BCC fields are equal to emails. The Description of different recipient statuses can be found in the Qiata User Guide.
Enter a subject title for the transfer in the Subject field. A message must be entered in the Message text box.
Choose the files and/or folders you want to send by pressing the Add files or Add folders buttons.
After you have clicked on a button, the selection window for files or folders will appear on your Windows. Select the requested files or folders and click Open or Select Folder.
Above the buttons you can see a dropdown area/drop zone. You can also drag and drop files and folders from outside SDC onto it.
After choosing your files or folders, the File Manager will be displayed, containing your selected files / folders.
Using the filemanagerβ
The File Manager will appear automatically if you have files in your PersonalSpace or Files area (These files are displayed from older transfers), or after you have added files or folders in the New-Tab.
You can add more files or folders at any time. Just click on the existing buttons under the filemanager, use the "right-click" context menu in Windows (New Transfer-Tab only) or drag and drop files and folders into the filemanager.
The Overview folder is present in every transfer but is not transferred. All files and folders that end up below this folder will be sent.
With the File Manager you can use familiar shortcuts to mark files/folders. An extended selection of elements can be selected using Shift or Ctrl + mouse click. For example, all elements can be selected using CTRL + A. A right-click on a selection of files opens a context menu, where you can select different operations depending on count and type of selected items.
- Copy: select files / folders for copying
- Cut: select files / folder for moving
- Paste: paste previosly selected items into current folder
- Rename: rename file / folder
- Delete: delete selected files / folders
- Download: start downloading selected files / folders
- Preview: show a preview of the selected file
- Show PDF: show the PDF in a PDF viewer
Using the Add New button above the folder view you can create a new folder in the current folder.
In the topline of the filemanager you can see a search bar. Here you can search for files / folders just by typing inside the field. The result of the search will be displayed immediately.
On the right side in the topbar you can see the Preview button. By clicking it you open the preview. The preview only shows an image of the file content and does not count towards your download count.
If your Qiata has encryption activated, then it is not possible to show the preview.
Each file/folder and/or selection may offer different context menu options.
Below the File Manager you are provided with the total file size and total files selected. It will be updated automatically.
Adding more files or folders to your Transferβ
Add more files or folders using the integrated buttonsβ
To add files and/or folders to your transfer, use the buttons to open the Windows menu to select the files.
You can only add files with the "Add more Files" button, but not folders. Use the "Add more Folder" button instead.
Now select the desired files or folders and click on Open.
In the choose file dialog, you can also mark more then one file by pressing STRG or SHIFT and mark the files.
Add more files with "right-click" context menu [Windows only] β
After the installation of the client, automatic Windows entries are set, which allow you to send files and folders from anywhere in your Windows. To start a simple transfer directly from your Windows (the client does not need to be opened) highlight the files and folders you want to send and right-click.
In the pop-up context, choose Send with SDC.
For right-click transfer, you can select individual files, individual folders, multiple files, multiple folders or a combination of both.
After clicking on Send with SDC, the Secure Desktop Client automatically opens or gets focused.
If the client is not started, it may happen that you have to login first. You can find more information at Login Mask.
Your files and folders are displayed in the Filemanager.
When creating a new transfer, all three ways (upload of files, transfer from PersonalSpace and Send As New) can be combined if necessary. It is therefore possible to use file A from the local PC, file B from PersonalSpace and file C from the Files tab in one single transfer.
Add more files with Drag and Dropβ
More files or folders can be added via drag and drop. The area for dropping the files/folders is on the right side of the File Manager. Please note that files are always placed in the respective path where you are currently located.
Add files from existing transfers or from PersonalSpaceβ
Please see the Use the Filemanager section on how to add files from these to a new transfer.
Choose email templateβ
If your administrator had provided other email templates for you, you can select them when creating a new transfer. The email templates contain the respective names. If you want to use the default template, select Default. If needed, you can select a new email template for each transfer.
If you need more email templates, please talk to your administrators.
Choose your Transfer Settingsβ
In the transfer settings, select the expiration date and, if required, a delayed date. The standard expiry date is the current date + one month. To enable delayed transfer, first enable the Delayed feature, by clicking on YES. Then select the desired date. You can either enter your own date, or select a date by clicking on the calendar icon.
In addition, you can set how often the recipient may download the files via Maximum Downloads.
You may also enable to protect the transfer with a password or set a PIN code. It's length must be between 6 and 20 characters. You can also have the PIN code generated automatically if required. To do this, click on the button with the dices.
The values set here are taken from your User Settings, but may differ per transfer.
The values of the Transfer Settings can be defined by your administrator. If you can not change this, but do wish to do so, please contact your administrator.
Once all settings are set and all required fields have been filled in, click Send now to send the transfer. If you want to reset the complete form and undo all entries, you can always click on Reset.
Transfertype: Inviteβ
Use the Transfer Invite type to give one or more people the ability to share files with you via your Qiata. Click Transfer Invite to create an invitation. An Invite has the same structure as a Transfer. If you have any questions regarding the Invite form, please read the paragraph Transfertype: Transfer.
Choose the recipient(s), subject, message and transfer settings. When creating an Invite no file / folder selection is displayed, as you invite a third party to upload something. When finished, click on Send to send out the Invite.
If you select Reply TO for a recipient, the resulting Transfer will also be send to the Reply TO recipient in CC.
Transfertype: Team Transferβ
Team Transfer is a licensed feature. If your Qiata does not have a valid license with the Team Transfer option, then you are not eligable to use the Team Transfer feature.
Qiata has a Team Transfer feature which allows multiple users to download and upload files related to a transfer. Members share one common transfer transaction and are notified whenever files are uploaded or downloaded. Multiple copies of files with the same name are also threaded together in a simple form of revision control. Snapshots can be taken at any point of time to capture the latest revision of each file for future reference.
Use the Team Transfer type to create a new Team Transfer with one ore more people. The creation of a Team Transfer is similar to that of a transfer. If you have any question regarding the Team Transfer form, please read the paragraph Transfertype: Transfer.
Type the recipients of your Team Transfer in the TO field. With the + button you can add more fields for recipients. With the second field you can choose READ. All recipients in the READ field have only rights to read a Team Transfer and can not add new files to it.
Choose the subject, message, transfer settings and initial files for your Team Transfer. When finished, click on Send to send out the Team Transfer.
Upload Statusβ
As soon as the transfer is being sent via Send now, the files and folders are uploaded. During Upload Status, all files and folders, including the data entered, are sent to Qiata. As usual, this sends mail to the sender and recipient to make the files available. For sending files/folders, no further steps are necessary. Everything works automatically. Depending on the selection of the files, Send as New or files from the PersonalSpace can also be transferred. Since these files are not re-uploaded, there is no upload process. The selected files are displayed during the upload.
Once the files/folders have been submitted to Qiata, you will receive a confirmation message that the upload was successful.
During the upload you can cancel the transfer at any time via the button Cancel. When cancelling the form is filled with the old values and can be adjusted again. After completion of the transfer the button changes to Close and now can only be stopped via the on hold option in the Outbox.

Comma (,)
Semicolon (;)
Vertical line (Pipe) (|)
The file used for import must be of UTF-8 or UTF-8-BOM format.
File Area
PersonalSpaceβ
As of Qiata Version 2.0, Qiata has the PersonalSpace feature. Users get their own PersonalSpace where they can store files, regardless of company guidelines and auditing. PersonalSpace uses the WebDAV interface and can therefore be integrated as standard in many operating systems, programs and apps. This means that files are available on all devices virtually synchronously. All files from the PersonalSpace can be used in the transfer area, for example to use them in a Transfer or TEAMTransfer. More information about PersonalSpace can be found in Qiata documentation (3.4.13 MultiSpace (PersonalSpace) Feature).
Working with PersonalSpace filesβ
The PersonalSpace menu item also uses the File Manager. A description of the functions can be found at Using the Filemanager.
You can use your PersonalSpace files, for example to share them with a third person. Select the files and folders you want and click on transfer selected items. All selected files and folders are automatically added to a new transfer. All you have to do is choose the recipient, subject and message. A big advantage is that these files do not need to be uploaded since they are already available on the Qiata. Sending these files is very quick.
When transferring the PersonalSpace files, they are used in the transfer area. This means that they go through the standard processes at Qiata such as policies, virus checks and quota checks. All elements are also documented in the Audit-Log.
The use of PersonalSpace files in the transfer area leads to a copy process within the system. The selected files are thus duplicated and will use additional quota. The PersonalSpace is only available to users if the CompanyAdmin has granted the group the appropriate right
PersonalSpace Passwordβ
If you have not received your application-specific password by e-mail, or have forgotten it, you can change the password or request a new one at any time via the SDC. To do this, simply click on the Button in the menu and choose a new password. Alternatively to choosing your own, you can have Qiata generate a password for you via Generate password and send by mail. You will receive this password and all necessary information for the connection by e-mail.
PersonalSpace Informationsβ
To use PersonalSpace in another application, you only need the PersonalSpace path, your user name and your application-specific password. A simple overview of the necessary details can be found behind the question mark button in the upper menu.
PersonalSpace as network driveβ
The SDC offers the possibility to automatically add a network drive in your Windows operating system. The network drive shows you all files and folders that are contained in your PersonalSpace. From there you can also add, delete or edit new files/folders.
The button shows whether there is already a network drive connected to the currently connected Qiata (green icon), or no connection has been established yet (red icon). If you want to set up the network drive, click on the button, fill out the form with your access data.
Please use PersonalSpace password (application-specific password for the login) and then click on Map network drive. You have received your PersonalSpace access data by mail. You can change your PersonalSpace password or have it generated at any time.
When your network drive is successfully added, access will open automatically in your operating system. In the overview you get information about the Network drive status and the Used drive letter.
If necessary, you can unmap the network drive at any time via the SDC. Simply click on the Unmap netword drive button. Of course, you can also add or unmap the network drive via your operating system.
Filesβ
The Files section shows all files that were sent via Qiata. It may also show your customized folder structure.
All sent files can be Send as new via the Files tab. This means that the files that are already on the Qiata are delivered to one or more other recipients. A completely new transfer is created, but an additional upload is not necessary.
This enables a quick transfer of large files or big folder structures in particular. To start a new transfer with files that are already used in another transfer, select the desired elements and then click on Send as new. You will be redirect into the new tab, where you can add more files if necessary, or simply fill out all required fields and start your transfer.
When creating a new transfer, all three ways (upload of files, transfer from PersonalSpace and Send As New) can be combined if necessary. It is therefore possible to use file A from the local PC, file B from PersonalSpace and file C from the Files tab in one single transfer.
Use the Files Filemanagerβ
With the File Manager you can use familiar shortcuts to mark files / folders. An extended selection of elements can be selected using Shift or Ctrl + mouse click. For example, all elements can be selected using CTRL + A. A right-click on a selection of files opens a context menu, where you can download the files. In addition, you can search for specific files. The search is based on file names and enables certain files to be displayed to be useed with Send as New or to download.
How to use the PDF viewerβ
The PDF viewer is the same as in most browsers. The PDF is shown with all pages in the viewer. With the mousewheel or the arrow keys you can scroll througth the PDF.
In the topbar are multiple functions to show the PDF in different way, to search for strings in the PDF or tu download the PDF.
With the Magnifying Glass Icon its possible to search for text strings inside the PDF.
To find the search string inside the PDF it must have a textlayer. If the text is as an image inside the PDF, then it can not be found.
With the Arrows you can scroll through the PDF pages or jump to a page with the box next to it.
To change the zoom you can use the Plus and Minus Icons, the selectionlist next to them or press the ctrl key and move the mousewheel.
With the Printer Icon you can print your PDF and with the Folder Icon you can download your PDF.
The download out of the PDF viewer will not increase the download counter of Qiata. Only the opening of the PDF viewer increases the counter.
On the right in the topbar you can find mor functions of the PDF viewer like rotation, scroll options and different layouts for the PDF view.
Client Settings Windowβ
To get into the settings of the client, click on the cog-icon in the lower left area.
Update the Clientβ
The Secure Desktop Client offers an integrated update system, which makes it easy for the user to keep the client up-to-date.
To check if an update is available, click on the button Check for Updates.
After clicking on Check for Updates the SDC will now automatically check if a newer version than the one currently installed exists.
An Update is availableβ
If an update for the client is available, the client will show you that a new version is available (as shown in the screenshot). You can see the changes for the version via What's new. When you are ready to install the update, click Install update.
Please note that the client will be restarted during the update and all entries will be deleted. The update process will install the client again automatically.
After clicking on Install Update the client downloads the new version. You can see the progress via the loading bar. After successful completion of the download, the installation then is performed. The client will automatically re-close during the installation process and guide you through the installation again. After reinstallation, you can continue to use the client as usual.
Client is up-to-dateβ
If the check shows that you are already using the latest version, you will receive the following message:
General Settingsβ
By default, the SDC continues to operate in the background when you click X so that it is quickly available at all times. If necessary, you can deactivate this option, which means that the SDC always closes when you click on the X.
With the setting Landingpage you choose the first page you want to get after login. You can choose between Dashboard, New transfer, Inbox, Outbox, Contacts or Files. You can adjust this choice at any time.
With the button Log off you can finally logout from the SDC. In doing so (unlike the "normal" logout) all cookies that may be present on the system will be deleted. Subsequently, a login via SSO is no longer possible. Instead, a complete authentication is necessary.
Qiata User Settingsβ
You can access the User Settings section by clicking My Settings on the dashboard, or by clicking the icon in the middle of the menu area.
The Qiata User Settings contain three sections (Security Settings, Transfer Settings, and Email Notifications) that reflect the global values of your account. You can adjust these values at any time. Please note that the values set in the SDC are set globally for your account and thus will be used in other clients or WebUIs as well.
If necessary, you can deviate from these settings for each transfer. It is also possible that your administrator has enforced some of these settings, so you cannot make any changes.
If you have any questions or problems with choosing these settings, please talk to your administrator.
Security settingsβ
In the Security Settings section you can set the security settings for your user on a global level. You can choose if an additional PIN code or if a _Password authentication is required for your transfer. In addition to this, you can enable the one-time password feature for your user account. This requires another OTP (one-time password) to be provided during authentication. An additional token app is required for setup.
For more information, see the Qiata documentation at One-time password setup.
Unless your administrator has forced values, you can deviate from your default at any time (even within a new transfer).
Transfer settingsβ
In the Transfer Settings select the default values for Maximum Downloads/Uploads, Days to Expire and Signature. If you put a signature in the Signature field, it will be automatically added to your transfer text.
The maximum values for Maximum Downloads/Uploads and Days to Expire may be limited by your administrator.
The signature must consist of text only. HTML / CSS styles are not possible here.
Email Notificationsβ
In the Email Notification section, you can set the following attributes: Notify me upon sending, Remind my recipients, Notify me upon download and Notify me upon expired & incompleted.
If required, you can deviate from these settings for each transfer.
Change the languageβ
The Secure Desktop Client always automatically uses the language of your operating system during and after installation. Currently, the client supports German, English, French, and Simplified Chinese. If your operating system has a different language, the client always defaults to English.
If necessary, you can change the language in the client at any time. Click on the flag in the upper bar and select the desired language. The language will be changed immediately.
The language selection is retained beyond the session and applies to your user account by default. Restarting the client or logging out does not change the language.
Notificationsβ
The Secure Desktop Client uses Notifications to alert you on important informations.
Deactivate in Windowsβ
You can deactivate the notifications at any time via the Control Panel in your Windows.
To disable notifications, navigate to Settings in your Windows and then Notifications & actions. Scroll down to the bottom and look for SDC. Click the switch to off. The Secure Desktop Client will stop sending your notifications.

CI-Changes (Branding)β
The Secure Desktop Client (SDC) can be customized to match the corporate CI. This mainly includes all logos, the background image of the login area and the primary color elements. This allows all users to move around in the familiar design.
After successful authentication, the SDC checks if there are changed color values or logos on the Qiata. For this the Qiata is used, which was entered as server name. After login, changed images are stored locally on the hard disk so that they can be used and displayed on upcoming launches.
For customization instructions, see the Qiata (Company Administrator) Administration Area.
